Behind every successful exchange year in Germany is a parent who has spent hours sorting out paperwork. It’s the less glamorous side of international education — visas, insurance policies, medical forms, transcripts — but it’s also what makes the adventure possible. Parents often tell us that the excitement of preparing is mixed with anxiety: What if I forget something important?
That’s why ASTUR provides families with clear guidance. We know the paperwork can feel daunting, especially for first-time exchange parents. This article serves as a complete checklist, so you know exactly what needs to be prepared, what ASTUR provides, and how we make the process smoother.
The Visa: Do You Need One?
The first question to ask is: does my child even need a visa?
-
EU and Schengen students: If your child is from within the European Union (or Schengen area), the answer is simple — no visa required. They can arrive with their passport or ID card and attend school right away.
-
Non-EU students: Students from countries like the U.S., Brazil, China, Korea or Japan will need a student visa for stays longer than 90 days. This is issued by the German consulate in the home country. If staying shorter than 90 days, studetns from these countries can immigrate as tourists and attend school right away.
Parents should plan to start the visa process early. Some consulates issue visas within weeks, while others can take several months. We recommend applying at least 12–16 weeks before departure to be safe. ASTUR provides the required documents, including the official placement confirmation, once program fees are secured.
Insurance: Protecting Your Child Abroad
German regulations require every exchange student to have valid insurance. At a minimum, three types are essential:
-
Health insurance for doctor visits, emergencies, or hospital stays.
-
Accident insurance to cover incidents in school, sports, or daily life.
-
Liability insurance in case of damage to third-party property.
Many families already have health insurance at home, but these often don’t extend to Germany. That’s why ASTUR offers comprehensive insurance packages tailored for international students. Parents who prefer to organize their own policy are welcome to do so, but proof of coverage must be submitted before arrival.
For parents, this requirement is reassuring: it means your child is never left without coverage in case something happens.
Essential Paperwork Checklist
Beyond visas and insurance, a few additional documents are needed to ensure a smooth start in Germany:
-
Valid passport with at least six months of validity after return.
-
School transcripts and teacher recommendation to place the student in the right grade.
-
Medical certificate including vaccination record, allergies, or chronic conditions.
-
Personal statement or video introduction from the student, so the host family gets to know them.
It may seem like a lot, but with ASTUR’s step-by-step guidance, families find that it comes together smoothly.
How ASTUR Supports Parents
ASTUR doesn’t leave you to figure this out on your own. Once registration is complete, we send families a detailed information pack with deadlines, forms, and examples. Our staff is available for questions, whether it’s clarifying a consulate form or recommending which insurance package to choose.
Parents particularly appreciate our reminders. We send regular check-ins before departure: “Have you submitted your medical form? Don’t forget to bring copies of your transcripts.” It’s like having an extra set of eyes making sure no detail is overlooked.
Peace of Mind Through Preparation
For parents, paperwork is often the most stressful part of an exchange — but it doesn’t have to be. With early preparation, organized documents, and ASTUR’s support, the checklist becomes manageable. In fact, many parents say the moment they receive the visa stamp and insurance confirmation is the moment they finally breathe easy and allow themselves to share in their child’s excitement.
Insurance, visas, and paperwork may feel like obstacles, but in reality they are stepping stones — the foundation that makes a safe, enriching exchange possible. With ASTUR by your side, the process is transparent, organized, and supportive from start to finish.
